Brighton Surf Life Saving Club Case Study
"....My Booking Manager has become an integral part of our fund raising activity at the Brighton Surf Life Saving Club. Our major annual fund raising event, the Brighton Jetty Classic attracts over 1200 paying swimmers.
Managing the registrations, payment collection, issuing tax invoices
and reminders would seem incomprehensible without using an automated
process.
Even without payments, it just makes organising an event so much
easier. When we launched the Brighton Jetty Classic, it saved a
volunteer wasting valuable time transcribing emails and phone call
messages into an rsvp list. The Brighton Jetty Classic has been
positioned as a premier event. It was also therefore important a high
brand image was presented to our official guests when they accepted our
invitation. Having a leading edge online rsvp registration system
assisted us achieve this.
A big benefit is the ease to set up an event for new registrations. We
use it for a range of other fund raising and annual events throughout
the year such as our Melbourne Cup Luncheon and Annual Presentation
Dinner. We even used it to sell T Shirts for a state title we were
hosting which meant no chasing or handling money. The goods were paid
up front before we delivered the goods.
If it were not for having the time saving convenience of My Booking
Manager, I would seriously question if we would have the volunteer time
to manage our internal swim and life saving assessor training programs.
Particularly where payments are required. It simply means now all we
have to do is promote our training sessions and simply bring the list
of registrations along to each training session knowing each
participant is paid up, tax invoice automatically issued, and the money
in the bank account.
There’s even an email that gees out after each event seeking feedback.
There was incident where due to an unrelated misunderstanding, but
through the feedback it was immediately brought to our attention. We
were in a position where we could then resolved the problem with the
person in question. The saving in potential losses by being able to
immediately address the problem would have potentially made the cost of
My Booking Manager insignificant.
But while we are now able to manage our events and training programs so
much more efficiently, one of our other big annual payment collecting
tasks has been payment of memberships. My Booking Manager not only now
collects membership payments, but we can also sell on the one
transaction items like training manuals, uniforms, etc. This task used
to be the Treasurers and the Membership officers annual nightmare,
taking up untold personal voluntary time perched at the club house all
hours of the day and night with a receipt book and cash tin full of
money.
The Treasurer position would literally be vacated overnight if it were
not for the automation and efficiency My Booking Manager has provided
the club
My Booking Manager has managed close to a thousand registrations over
the last year for all our events and training, plus 1200 for our major
Brighton Jetty Classic event, plus 400 membership payments. When
volunteers time is scarce, that’s equivalent to over a half a day each
and every week we would have to find from our time stretched members.
I would rather see our volunteers time be better utilised helping to
grow a great club..."
